OPPORTUNITY: FRONT DESK ADMINISTRATOR - NEWPORT BEACH, CA

 

Job Summary:

The Front Desk Administrator is the first point of contact with employees, customers, and services providers for our Company.  Offering support throughout the organization, the Front Desk Administrator provides clerical, secretarial and administrative support in our corporate headquarters in Newport Beach, California. 

 

Essential Duties & Responsibilities:

Front Desk Administration

  • Answers multi-line switch board, directing calls appropriately and responding to inquiries.
  • Ensures appropriate messages are taken and delivered, including caller’s full name and purpose of call.
  • Sorts and distributes incoming mail and prepares outgoing mail for delivery; signs for packages and ensures proper delivery.
  • Greets visitors, receives and schedules guests and directs to appropriate person or area.
  • Manages conference room schedules; monitors reservations to ensure no conflicts exist, prepares meeting rooms for guests with appropriate supplies and materials.
  • Manages parking validation system.
  • Maintains office security and safety by following safety procedures and controlling access via the front desk.

General Office Support

  • Manages off-site filing system including coordination of pick-up/delivery of storage items and shred bins.
  • Ensures office and kitchen supplies are stocked daily; assists in ordering of supplies.
  • Assists in planning and coordinating office events.
  • Assists with general administrative duties including composing correspondence, generating Excel or other reports, and inputting data.

Education and Experience:

  • 1 - 3 years of related front desk or receptionist experience and high school diploma (or GED) or equivalent combination of education and experience.

Other Qualifications:

  • Outlook Email, Calendar and Contact systems experience.
  • Microsoft Excel and Word experience.
  • Microsoft Teams, Yardi and/or Nexus experience a plus.

Salary range $20-$22/hour.  We offer a competitive compensation package that includes a 401(K) match, rental incentive and renewal compensation, bonuses, and rental discounts depending on location.  Regular full-time employees who work between 30-40 hours a week are eligible for medical, dental, vision, other voluntary benefits and vacation accrual, Sick time accrual is provided in accordance with law.
